Overview
Pick My Square (“Pick My Square,” “we,” “us,” or “our”) provides tools that help leagues, teams, and communities manage digital squares boards. This Privacy Policy explains what information we collect, how we use it, the choices you have, and the safeguards we apply. It covers our public website, logged-in product experience, emails, SMS messages, and related services (collectively, the “Services”).
Information We Collect
We collect information in three primary ways: when you provide it directly, automatically through your use of the Services, and from trusted partners you authorize.
Information You Provide
- Account details: Name, email address, and password (stored in hashed form).
- Profile and board activity: Entries you create, boards you manage or join, and settings you configure.
- Communications: Messages you send to us (for example, support requests or feedback) and information you include when inviting others to boards.
- Optional contact data: Phone numbers you supply so we can send transactional SMS updates. Providing a phone number is optional, and you can opt out at any time.
- Billing context: If you upgrade services, Stripe securely processes payment details. We receive limited information such as plan type, status, and billing identifiers; we do not store full card numbers.
Information Collected Automatically
- Usage and device data: IP address, browser type, operating system, referring URLs, pages viewed, time spent, and timestamps.
- Cookies and similar technologies: Small data files that keep you signed in, remember preferences, and—if you consent—help us improve performance through analytics.
- Diagnostic information: Error logs and request metadata used to monitor uptime, prevent abuse, and troubleshoot issues.
Information from Service Providers
- Payments: Stripe shares confirmations so we can activate or manage your subscription.
- SMS delivery: Telnyx supplies delivery status for transactional text messages.
- Email delivery: Our email providers supply deliverability feedback (for example, whether an email bounced or was opened).
How We Use Information
We use personal information for legitimate business purposes, including to:
- Provide, maintain, and personalize the Services you request.
- Authenticate accounts, secure access, and prevent fraud or abuse.
- Send transactional notices such as board invites, approvals, reminders, and service updates by email or SMS.
- Process payments and manage subscriptions through Stripe.
- Respond to support inquiries and improve customer service.
- Analyze usage (in aggregate, when consented) to improve functionality and plan capacity.
- Comply with legal obligations and enforce our terms.
Legal Bases for Processing
Where required (for example, the European Economic Area and United Kingdom), we rely on one or more of the following legal bases:
- Contract: Processing necessary to deliver the Services you request.
- Consent: Processing optional data (such as analytics cookies or SMS messaging) after you opt in.
- Legitimate interests: Improving and securing the Services in ways that do not outweigh your privacy interests.
- Legal obligation: Meeting record-keeping, tax, or reporting requirements.
SMS Communications
If you share a phone number, we may send transactional SMS updates about board activity (invites, approvals, reminders, or results). Message frequency varies. Standard message and data rates may apply. You can opt out at any time by replying STOP; reply HELP for assistance. Opting out of SMS does not affect essential account emails.
Cookies and Similar Technologies
We categorize cookies as essential, functional, or analytics. Essential cookies load even when you decline additional tracking.
Essential Cookies
- Session: Keeps you signed in securely during a session.
- CSRF protection: Helps defend against cross-site request forgery attacks.
- Security and load balancing: Maintains application reliability and integrity.
Functional Cookies (Optional)
- Preferences: Stores your timezone (`tz`) and display selections (`user_preferences`) so boards render correctly.
Analytics Cookies (Optional)
- Google Analytics: Measures aggregated traffic patterns using identifiers such as
_gaand_ga_*(typical duration up to 2 years). - Data captured: Page views, device/browser statistics, and referrer information. Data is aggregated and not tied to your board content.
Advertising Technology (Optional)
We use Google AdSense to display third-party advertising on pickmysquare.com. Google and its partners may place first- or third-party cookies, beacons, or similar technologies to personalize ads when you allow advertising cookies. Data involved can include IP address, device and browser type, operating system, language, advertising identifiers, geolocation, referral URLs, usage data, and interactions with ads. If you decline advertising cookies you will still see ads, but they will not be personalized. You can review how Google handles data and manage partner settings at https://policies.google.com/privacy.
Manage Cookie Preferences
Use the button below to review or revise optional cookie settings at any time. Your previous choices will remain until you change them.
How We Share Information
We do not sell personal information. We share it only as needed to operate the Services or comply with the law:
- Service providers: Trusted vendors under contract who support hosting, infrastructure, analytics, payment processing (Stripe), SMS delivery (Telnyx), and email delivery.
- Team administrators: Board managers can view the information necessary to run their boards, including participant names, email addresses, and optional phone numbers supplied for that board.
- Legal compliance and safety: When required by law, regulation, court order, or to protect the rights, property, or safety of Pick My Square, our users, or others.
- Business transactions: In connection with a merger, acquisition, financing, or sale of all or a portion of our assets, subject to appropriate confidentiality safeguards.
Data Retention
We retain personal information for as long as your account is active or as needed to provide the Services. We may also retain certain log or transactional records for legitimate business purposes, legal obligations, dispute resolution, or security. When retention is no longer required, we either delete or de-identify the data.
